It is a time-honoured teenage tradition that when your parents go away for a night or two, you invite all of your friends over and throw a party. It’s also well-known that being the host of one of these parties is much less fun than just being a guest. At the end of the day, what this means is that, more often than not, club admins don't actually get to enjoy their events because they're too busy keeping the wheels on. They are just like the poor kid hosting the house party, too busy thinking up a way to explain to their parents how all the patio furniture ended up on the roof and why the bathroom door is now off its hinges to actually enjoy the night. Those are both things I've seen happen at a house party, but I am only responsible for one of those; if you stick around to the end, I'll tell you which one.

What Are The Steps To Organising An Event WIth Member Jungle?

This is a topic I have covered in great detail in this article, How To Run An Event With Member Jungle - A Guide. However, let me quickly run over all of the main steps for you here. 

1. Set Up Your Event

Firstly, you need to open up the Event Module on your Member Jungle site; once this is open, you will be able to add a new event. In this new event, you will be able to enter any and all important details about the event, like: 

  • Name
  • Time
  • Date
  • Location 
  • Description 
  • Images 
  • Related documents 
  • Online meeting link, if applicable 

And a lot more. 

2. Orgainse Registration & Tickets 

Next, you will be able to decide whether or not members can register for this event online or not. If you do enable online registration, you will then be able to select the following things: 

  • How many tickets are for sale
  • Whether members can see who else has registered for the event
  • When tickets go on sale
  • Whether there will be a chatroom dedicated to the event
  • How much tickets cost
  • If certain membership levels will get discounts on tickets
  • Whether the event will be members only or open to the public

Finally, once your event is created, you can choose how many reminder emails the system will automatically send out. These emails can be sent to all members or select groups; they can remind people to buy tickets and remind members who have already bought tickets that the event is approaching. The system is smart enough to tell which group is which and only sends the right emails out to each group. The same thing can also be done with push notifications to members' phones. 

This is the long and the short of how to set up an event. So, let’s move on to the day of the event itself. 

3. Running The Event

When your members arrive on the day of your event, you won't need to manually write down their names or do head counts. Instead, you can simply use your phone to scan their digital membership cards or event purchases for easy check-in. The Member Jungle system will keep track of who arrives and automatically log this information in your system for later reference. 

During the event, you can use push notifications on members' phones or event-based group chats to keep everyone in the loop on what is going on. This makes communicating during events super easy; there’s no running around trying to tell everyone in person that such and such is about to start or hoping people check their emails. Finally, at the start of this article, I promised I would tell you which of the party messes I was responsible for. It was the bathroom door. Very quickly, at a party when I was about 18, I went to the bathroom; when I tried to leave, I found the door’s lock had jammed shut. After trying to open it for about 20 minutes and being unable to call anyone as I didn’t have my phone with me, I remembered that I had my skate tool clipped onto my jeans. So, I used that to unscrew the hinges on the door and finally escape back to my friends, who were wondering where I’d slinked off to.
