Member Jungle POS Integration: Square POS, Swift POS, Lightspeed POS, OrderMate, and Barcode Scanning

Member Jungle is membership management software designed to make running all kinds of membership organisations easier and more stress-free. Everything from book clubs to car clubs, professional associations, and licensed pubs and clubs. All of these, particularly the last one, may need a point of sale system or POS system, to help them sell items, scan membership cards, and track members’ rewards. Therefore, Member Jungle’s ability to work with POS systems is understandably important for many clubs and associations. 

However, it is not that simple due to the nature of POS systems. Unfortunately, POS systems have no universal software or setup style, with each company effectively reinventing how the process works. This then requires custom work from our development team for us to be able to make our system work with different POS systems. So today, we will look at the different POS systems Member Jungle can work with and how to get them set up. 

Today, we are going to look at how Member Jungle can work with the following POS systems: 

Why There Isn’t Just One Way To Connect Your POS System To Member Jungle

As I briefly mentioned, and as will become increasingly clear, setting up your Member Jungle site to connect to your POS system is not a one-size-fits-all process. This is for a pretty simple reason, so let me explain it to you, the way I had it explained to me. 

The image below shows your club or association on the left and your Member Jungle system on the right. Your POS system is located in your organisation in the real world, while Member Jungle is located on the internet as it is cloud-based. 

 

Why There Isn’t Just One Way To Connect Your POS System To Member Jungle

 

The trick is connecting your POS system in the physical world with your Member Jungle system in the digital one. This is super simple if your POS is cloud-based like Square, Lightspeed or OrderMate. All of the data in your POS system is stored on the Cloud on the internet, meaning that we can just connect Member Jungle to it and data can flow freely between the two. 

So, suppose someone signs up to become a member in person via the POS system. In that case, you can easily export data from your cloud-based system and then import it into Member Jungle to use in a Comparison Report, ensuring that the new member is registered in your Member Jungle system. 

This works in reverse as well. If someone signs up to be a member online via your Member Jungle system, Member Jungle can add their information to Zapier, and then Zapier will send that new information to your POS system. Meaning they will be able to check in with their digital membership card at your POS system. 

Basically, it allows for a constant stream of data between the two, which is perfect. 

 

 POS System To Member Jungle

 

Unfortunately, because there are so many different POS systems and they are all set up differently on the cloud, this may still require some work on your side and ours, but once it’s set up, we’re golden. 

However, this becomes trickier if your POS system is not cloud-based, like Swiftpos and others. In this case, your data will move freely between your POS system and a physical server, likely somewhere in your building. 

In this case, you must export a CSV file from your server and manually upload that file to Member Jungle via a Comparison Report. To bring any new member data from your POS to your membership management system. You will also have to perform the same thing in reverse. Export a CSV file from your Member Jungle system and then import it into your POS server. 

Doing this allows both systems to have the same data and information, so that everything runs smoothly. You will need to export CSV files on a regular basis to keep everything neat. How often will depend on the size of your club and how many members are coming and going from your organisation, but every week or every month is probably a good goal. 

In the end, it will look more like this. 

 

 POS System To Member Jungle

 

It’s a little messier than for a cloud-based system and requires more manual work on your part, but it does the trick.

Now that we’ve covered that, let’s get into the different systems. 

Square POS & Member Jungle

If you use Square POS, the process of getting it to work with Member Jungle is pretty easy. That is because Square is a cloud-based system that integrates with Zapier, and so does Member Jungle. This lets you connect the two platforms to automatically send member data (name, number, expiry, barcode) from Member Jungle to Square POS upon signup or renewal. 

You'll need to configure Zapier and ensure your Square POS can scan one of the types of barcodes and QR codes that Member Jungle uses. This setup lets members use their digital card at your Square POS terminal almost immediately. Member Jungle handles member identification; Square POS manages transactions and discounts.

Lightspeed POS & Member Jungle

While Lightspeed POS is cloud-based, it doesn't offer a direct Zapier integration; it connects with various other apps that work with Zapier. This means you might be able to achieve some level of integration with Member Jungle. For example, if you use Lightspeed alongside an accounting software like Xero. Xero works with both Lightspeed and Member Jungle. However, the specific data that can be transferred (e.g., name, number, expiry, barcode) and the complexity of the setup will depend on the intermediary apps involved. 

This is very much part of what I was talking about before, because there is no universal setup for POS systems, and how Member Jungle can work with them is always different. 

You'll need to confirm that your Lightspeed setup and any connected systems can scan one of the types of barcodes and QR codes that Member Jungle uses. It's important to remember that Member Jungle primarily handles member identification, while Lightspeed POS remains responsible for transaction processing and discount management.

OrderMate & Member Jungle

Just like Lightspeed OrderMate, it does not offer direct Zapier integration but does offer Xero integration. Whether this will allow enough data to transfer back and forth is unclear. However, other third-party apps and services may be able to bridge the gap between OrderMate and Zapier, making this process easier.  

Again, it’s important to ensure that OrderMate can scan the types of barcodes and QR codes that Member Jungle uses for member identification.

Swiftpos & Member Jungle

Swiftpos does have a paid add-on that allows it to be cloud-based; however, this add-on costs quite a lot per month to use. Now, they do not appear to publicly list the price of this add-on. So, I’m not sure if I can report what it is here, but having talked to a club that uses Swiftpos and Member Jungle, I can tell you that they personally found it too expensive to use. 

If you use Swiftpos and Member Jungle and find this to be too expensive, the best option will be to export and import CSV files, as we discussed earlier.
