Five Things You Don’t Know About Member Jungle’s Membership Module

Date:

We recently talked about the five parts of the Member Jungle Event system that you might not have known about. People seemed to find it really useful, so we’re back; this time to talk about five parts of the Membership Module you probably don’t know about.

In honour of talking about things we previously didn’t know, here is something I only recently learnt. Old-timey polar explorers used to take some absolutely wild stuff with them. The medical kit for Ernest Shackleton’s Nimrod expedition included opium wine, opium chalk, “tinctures” of cannabis and chilli peppers, “tonics” of iron and arsenic, cocaine eye drops, and Forced March tablets made from cocaine and caffeine. Oh, and they also took 25 bottles of Highland malt whisky.

I don’t know about you, but the fact that these guys tried to walk to the South Pole suddenly makes much more sense now that I know they were rolling dirtier than a bachelor party in Bali.

Anyway, let’s get onto what we are actually here to talk about today, the Member Jungle membership module.

How Can You Get The Most Out Of The Member Jungle Membership Module?

To save your committee time, increase renewals, and secure your members' data, membership organisations should look beyond the basic settings and utilise the advanced features of their membership management platform. Make sure your organisation is:

  • Incentivising early renewals by creating custom discount coupons to encourage members to pay on time.
  • Automating repetitive communications using Email Snippets with dynamic fields to save time while keeping emails personal.
  • Securing member privacy by strictly controlling which committee members and volunteers can see specific demographic fields using App Viewer Permissions.
  • Segmenting communications and controlling access using Member Tags. Tags do much more than just ensure members receive emails relevant to their specific interests. They also act as security roles, allowing you to group members and grant them exclusive or restricted access to private web pages, chat groups, document categories, and specific events.
  • Utilising AI to generate content by using the Jungle Vision Guide to instantly write newsletters, create event descriptions, and brainstorm ideas based on your club's actual data.

1. Incentivise Early Renewals & Track Sign-Ups

In an ideal world, all your members would renew their membership the week renewals are due, you’d get a nice influx of cash and life would continue on as normal. In reality, membership renewals come in sporadically for months either side of the renewal date. It’s not uncommon for members to renew their memberships two or three months after they are due. It is frustrating, it delays your funding, and chasing people down feels like herding cats.

This is where coupons come in.

Member Jungle lets you create custom discount codes that can be applied to membership sign-ups, renewals, or merchandise in your online store. You can set these up as a fixed dollar amount (e.g., $10 off) or a percentage (e.g., 15% off), and you have complete control over when they expire and how many times they can be used.

If your renewal deadline is June 30th, you can create a coupon code like "EARLYBIRD15" that gives them 15% off, but set it to automatically expire on May 31st. People love a discount. Offering members even a small discount on their renewals if they pay early will make a sizeable difference to how many people actually renew on time.

You can also get creative with how you use them to drive new sign-ups. For example, you can easily:

  • Track your sponsors: Give unique discount codes to your club's sponsors to see which ones are actually driving new members to your club.
  • Convert event attendees: Stick a code on a flyer at your next public event to push potential members over the line on the spot.
  • Offer an olive branch: Generate a quick, one-off discount code to smooth things over with a grumpy member if a mistake happens.

2. Stop Typing The Same Emails Over & Over

Writing out identical emails over and over again can be mind-numbing and a real time sink. This is especially true for emails you have to send regularly enough to be annoying, but not so often as to warrant a massive bulk email. Because this process is so tedious and time-consuming, many people have started turning to AI to write their emails for them. The issue is that AI can be pretty obvious, particularly if it isn't edited thoroughly, and people are increasingly opposed to AI marketing. If your members receive an email they suspect was written by a robot, it can really hurt your relationship with them.

This is where Email Snippets come in.

Email snippets allow you to create pre-written blocks of text that you can instantly drop into any automated email, newsletter, or renewal reminder.

Even better, they use dynamic fields. Instead of sending a generic "Dear Member" email, you can use a snippet that automatically pulls the person's actual name from your database. The idea is that you set up your email snippets once. Since you're not a robot, you can write out the perfect, human-sounding email one time, insert the dynamic fields you need (like the member's name or membership level), and save it. Once your snippet is finished, you can add it to your email with a single click. No faffing about copying and pasting, editing, using AI, or reformatting.

It will save you plenty of time and a lot of headaches. For more info on how to set up your email snippets and when to best use them, read Email Snippets.

3. Keep Your Members' Private Data Safe From Prying Eyes

You can’t run a club or association by yourself, so you have multiple volunteers and committee members each taking on separate roles. Each of these people only needs a certain amount of access and information based on what they need to do. If you are a bushwalking club, the person leading your walks does not need anywhere near as much personal information as the membership officer.

This is where App Viewer Permissions come in.

Instead of an all-or-nothing approach to your member data, this feature gives you control over exactly who sees what on the app. As you can see in the screenshot below, you can create specific roles, adjust what permissions they have, and then assign those roles to certain volunteers.

App Viewer Permissions

Members’ names are the only detail everyone has to see; all other permissions can be customised to suit your needs. You don’t need your walk leader to see your members' home and postal addresses, and there is no need for them to see their join date or MYOB number. However, you do need them to be able to see the members' phone numbers, emergency contact details, and dietary requirements/allergies.

By simply toggling these fields on and off, you protect your members' privacy while ensuring your volunteers have exactly the tools they need to run events safely. It gives your members peace of mind knowing their data isn't being overshared, and it keeps your club secure without making your committee jump through hoops.

4. Only Email The People Who Actually Need To Know

If you’re anything like me, your email inbox is utter chaos. I just looked at mine, and just today I have received three newsletters, two from the same company, a privacy policy update from a company I didn’t realise I had an account with, an email from AusPost, several companies advertising sales, and a real estate agent inviting me to an inspection of a $1.5 million house. I don’t know what about me looking for one-bedroom apartments to rent has led them to think I am in the market for a four-bed, four-bath mansion, but here we are.

With inboxes looking like this, it is all too easy for your members to miss an important email from your club, or simply ignore it because it's the eighth irrelevant update they've received from you this week.

Your members want to hear from you, but treating your entire membership base as one single audience is the fastest way to kill your engagement rate.

Member tags let you segment your members into hyper-specific groups, independent of their membership level. You can create custom tags for literally anything your organisation needs to track. For example, consider an outdoor club that hosts a variety of events. Any member can attend, but not all members do. You can create a member tag for hiking members, another for kayaking members, another for rock climbers, and another for nature photographers. Plus, members can easily be assigned multiple tags if they participate in more than one activity.

Member tags

You don't have to spend hours manually assigning these tags. You can easily add these fields to your membership application or renewal forms as checkboxes, allowing members to select their own interest groups right from day one.

Once your members are tagged, you can stop bothering everyone with the same messages. Instead, you can run a quick search for everyone with the "hiking" tag and email just that specific group about an upcoming trail walk.

But tags go way beyond just emails; they are also the ultimate tool for controlling access across your platform. You can use tags to restrict visibility for specific content and events. Want to host an exclusive advanced kayaking trip, restrict a folder of private documents, or set up private, opt-in chat rooms on the app? You can use your tags to lock those down so only the relevant people can see and access them.

It is an incredibly simple way to guarantee you are delivering the right information, and the right access, to the right person, without sending irrelevant communications to everyone else. This drastically improves your engagement rates and ensures your members actually read your emails.

5. Never Stare At A Blank Page Again

I don’t know about you, but so often I go to write something, and I end up just staring blankly at it for ages. I genuinely wrote that heading and then spent about ten minutes staring at this page trying to work out what to say. Sometimes, our brains just don’t do what we want them to do, and that’s where Jungle Vision Guide comes in.

When you need to send out the monthly newsletter or create a new webpage for an upcoming event, staring at a blank screen can be an absolute headache, especially if you aren't a graphic designer or a professional copywriter. Jungle Vision is your club’s own built-in, AI-powered smart assistant. It takes all the heavy lifting out of creating content by doing the hard work for you.

Unlike generic AI tools, Jungle Vision already knows your organisation. Once you enable it on your site, it knows your brand colours, your logo, and your website address, and it has access to your upcoming events and your 'About Us' page. This means it can generate highly accurate, relevant event descriptions, emails, and more, all tailored specifically to your organisation.

You can simply open the Jungle Vision Guide and ask it to write your monthly newsletter. Because it is plugged into your system, it can automatically pull in your latest news articles, insert your upcoming events, format the whole thing perfectly in your exact brand colours, and drop it right into the email editor—all without you typing a single word of the actual email. Of course, as always with AI-generated content, you should take the time to read it for errors and edit it to ensure it sounds like your organisation’s authentic voice. AI should make your communications quicker and easier, not remove the human element.

You can use Jungle Vision Guide to:

  • Generate professional banner images for your events.
  • Write engaging text for your website pages or social media posts.
  • Brainstorm new event ideas.
  • Quickly find answers to Member Jungle support questions.

Please note that as of writing, Jungle Vision Guide is currently in Beta testing. If you would like to sign up for the beta and get your hands on this awesome new feature before its wider release, you can Sign Up To The Beta Program Here
