Choosing the right AI generative chatbot is a critical decision for modern clubs and associations seeking to streamline operations. This AI chatbot comparison evaluates ChatGPT vs Gemini vs Copilot, testing their capabilities for AI content generation and AI problem-solving on common administrative tasks. The results will help you determine the best AI chatbot for 2025 based on a variety of factors, ensuring your organisation selects the most effective AI tools for its needs.
 

It is officially time for the rematch you’ve all been waiting for. This time last year, we saw ChatGPT and Google Gemini duke it out for the title of the best AI chatbot to use to help your membership organisation. It was close, and it went down to the scorecards, but Gemini won by 40 points to 37, and was crowned champion.

Well, with the pace at which AI is developing, we must have a rematch to crown the champion for 2025. Though this year we have a surprise. This is going to be a three-way bout between Microsoft Copilot, ChatGPT, and the reigning champ, Google Gemini. 

So, let’s meet the competitors and then find out which is the best AI chatbot for you to use to help generate content for your club or association.

Meet the Contenders: Copilot, Gemini & ChatGPT 

So, before we get started, let’s meet our competitors today. All three AI bots have both free and paid versions. For the purposes of fairness, I will be using the free versions to generate responses today, but we will also be looking at some of the paid features, too.  

ChatGPT

ChatGPT is an AI chatbot owned and operated by OpenAI. Microsoft owns a large portion of the company. ChatGPT uses the GPT-4 and new as of writing GPT-5 engines.  

Copilot

Copilot is an AI chatbot that is owned and run by Microsoft. It utilises the OpenAI underlying modules, GPT-4 and GPT-5, as well as what Microsoft calls Prometheus. This allows Copilot to combine search data from Microsoft’s web browser with the GPT engine to provide improved responses.  

Gemini

Gemini is an AI chatbot owned and run by Google. It uses Google’s in-house AI model and is also able to use search data to improve responses. 

For today's test, I will be using the following models for each of the AI products listed above. Please don't worry if these names don't mean much to you; they simply refer to the underlying engines each system uses and are only relevant for techy people who want to know the exact details.

  • ChatGPT: GPT-5
  • Copilot: GPT-4
  • Gemini: Flash 2.5

Round 1: Which AI Chatbot Is Best At Content Generation? 

First up, let's talk about content generation and find out which AI is best at generating content. I am going to ask each model to create an engaging intro to a blog post, to create a good caption for a social media post, and to draft an email reminding members to RSVP for an upcoming event. I won't share the full results; if I do, this article will become a novel by the time we're done here today.

Also, let's be clear that none of these responses are going to be perfect, flawless things. All will need tweaking and editing. I am a big believer in using AI to augment and improve your organisation's content, not replace it.

AI Article Intro Test

The first prompt I gave the chatbots was as follows: 

I run an outdoor rock climbing club. Please write me an intro to an article about how we use some of our members' membership fees to help advocate for the protection of rock faces in our local area. The introduction should be engaging and humorous, but not overly so. The target audience is my members and potential members. 

All the responses were good, none were perfect, and all misinterpreted several things about rock climbing culture and were a little clunky in places. It was a really close thing between Gemini’s response and Copilot’s, but in the end, Copilot’s response was just a bit better structured. ChatGPT’s response was an easy third.

Next up, let's see how the robots handle a social media post. I gave them all the following instructions and an image. Crucially, some of the information, like the date and the name of the association, is only on the image, so we will also see how well each AI does at interpreting information from images. 

My Association is running a fashion fundraiser event to raise money to help protect and rehome alpacas. Please write me a Facebook social media post to go with this image. '

All the AI chatbots did a really good job with this one, and all were correctly able to gain information from the image. It was genuinely hard to choose a winner, but once again Copilot did the best job, followed closely by Gemini, and then ChatGPT. Copilot’s formatting and tone were just a bit better than the others.

AI Email Test

Finally, for round one, let’s see how each AI does at drafting an event email. 

So, I gave them all this prompt, and we got to work. 

I run a car club called the Mostly Broken Down Italian Classics Club. We are hosting an event on November 21, 2025, called "Car Meet on the side of the road two km from our destination". The tickets are $50 each; members can go to our website to purchase tickets. Alfa Romeo and Lancia drivers get a 100% discount, as we all know, they will blow up pulling out of the driveway. 

At the event, there will be food, drinks, car displays, mechanics, and several auto parts retailers with stands. 

Please write me an email that I can send to my members to get them excited and booking tickets for this event. 

This round was also quite close; all the chatbots did a really good job of writing up this draft email. All of them were quite able to roll with the humorous tone of my prompt. However, on this occasion, it was Gemini that wrote the email that made me most want to attend, which you can see below. Copilot was a close second, followed by ChatGPT.

As the bell dings and round one of four comes to a close, we have a narrow leader so far: Copilot, who took two of the three challenges in round one.

Round 2: Which AI Chatbot Is Best At Problem Solving?

Next, we are going to see which chatbot is best at solving complicated problems. These problems are going to be ones that the average membership organisation encounters.

One of AI’s best uses is as a sounding board to help talk out problems with, so knowing how good these different chatbots are at reasoning and helping with complex problems is crucial.

Question 1 - Can AI Help Plan An Event?

I asked all three AI Chatbots the following question:

I'm planning our association’s annual gala. Can you give me a checklist of tasks to do, a timeline for each task, and some ideas for themes? The Gala is in 54 days' time. 

Honestly, all three knocked this one out of the park. They all gave me really detailed lists of tasks organised by when I should be doing them, and all gave me a very similar list of themes for my gala. Trying to choose a winner requires splitting hairs; ChatGPT and Copilot only gave short one or two-word descriptors after each task, while Gemini gave a lot more context on exactly what each task was about and how to complete it. Ultimately, this gave Gemini the narrowest of edges.

Question 2 - Can AI Help Mediate A conflict

The next question I asked the AIs was: 

Two of our committee members are arguing about the budget. How should I mediate this?

Again, they all did a really good job with this, and this time I can’t separate them. They all suggested detailed steps to calm down the situation and talk it through with each of the individuals, and helped with planning out how to guide them to a compromise. So, this one is going to get marked up as a draw.

Question 3 - Can AI Help If I’m Losing Members?

Finally, I really wanted to push the AIs, so I asked them a fairly complicated, high-stakes question, which was:

My club is losing members; they say that our prices are too expensive, but we are already on such a tight budget that if we lower our membership prices, we will close. What can I do? 

Once again, this was a really hard one to call. All the AIs did a great job; Gemini and ChatGPT offered six detailed suggestions, and Copilot offered five. In reality, you’d be fine with any of these AIs’ responses, but once again, due to the extra level of detail that Gemini went into, it just edges this one.

Well, that wraps up round two, and it was so tight that ChatGPT and Copilot drew, but Gemini just won by the tiniest of margins.

So, at the end of round two, it is neck and neck between Gemini and Copilot, but now it’s time for round three. 

Round 3: Ease of Use & Accessibility

Now it is time to work out which of our three competitors is the easiest to use. This is massively important; I don't know about you, but I am about as tech savvy as a badger tangled in a phone cable. It's a constant battle to keep myself online and understand how to use the systems I need to use.

So with that in mind, let's look at how easy and accessible these chatbots are to use.

I decided to judge each chatbot on the following criteria:

  • User Interface (UI): How clean, intuitive, and easy to navigate is the chatbot's interface?
  • Onboarding Process: How simple is it for a new user to sign up and start a conversation?
  • Prompting: Is it easy to write effective prompts? Does the chatbot provide guidance or suggestions?
  • Customisation: Can users customise the chatbot's personality, tone, or other settings?
  • Integration: How easily does the chatbot integrate with other platforms, apps, or services?
  • Mobile Experience: How well does the chatbot function on mobile devices? Is there a dedicated app?

To make this comparison as clear as possible, I've rated each chatbot on a scale of 1 to 5 for each criterion, where 5 is 'Excellent' and 1 is 'Poor.' The following table shows how each chatbot performed in my testing.

 

Ease of Use & Accessibility

 

A few quick notes on this. Regarding formatting and interface, Copilot is gorgeous. It is a really nicely designed and simple-to-use system; it makes the others look kind of ungainly in comparison. The other two look fine and are easy to use, but Copilot is a step above.

On the other hand, Gemini’s ability to tweak prompts, drill down into information, and export results is second to none. Again, the others are good here too, but Gemini is just a bit more powerful.

Nonetheless, it’s the end of round three, and it goes by a narrow margin to Copilot.

 

Ease of Use & Accessibility


Round 4: New Features & Innovations

It’s the championship round, folks, and it is all still up for grabs, for everyone except ChatGPT, who is going to need a miracle to win this one. 

Context Tokens: Memory Capacity 

First up, let’s talk about context tokens. Context tokens are a measure of how much information a chatbot can remember. The higher the context token limit, the larger the files that it can process and the further back in your conversation it can remember. Basically, more context tokens equal more usability and better, more educated, and customised responses.

So, these are how many context tokens the free versions of Gemini, ChatGPT, and Copilot give you:

  • ChatGPT: 128,000
  • Copilot: 128,000
  • Gemini: 1,000,000

There is a clear and obvious winner here, with Gemini essentially having a memory nearly ten times greater than the others. This means it will be able to process larger files and remember what you’ve told it to do over many more interactions. 

AI Chatbot Prices

While we've been exclusively looking at the free versions of ChatGPT, Copilot, and Gemini, it's worth noting that they also offer powerful paid tiers. The free versions are all excellent for general use, but if you're looking to create custom chatbots, integrate AI into other programs like online meetings and text documents, or get access to the latest, most powerful models, then a paid subscription is needed.

Here are the prices for the beginner-level paid packages, converted to Australian Dollars and accurate as of writing. Please note that each service also offers larger business plans, which you can find on their respective websites.

  • ChatGPT Plus: $30 a month
  • Copilot Pro: $33 a month
  • Gemini AI Pro: $32.99 a month

So, it’s all much of a muchness there, but ChatGPT is a few dollars cheaper than the others. 

AI Integrations 

One important feature of AI tools is their ability to integrate with other software, which helps streamline various aspects of your work. When an AI tool can connect with your existing software, like a virtual meeting platform like Microsoft Teams or a word processor like Google Docs, it can automate different parts of your workflow, saving you significant time and effort.

For instance, AI can integrate with your meeting software to automatically transcribe and summarise your discussions. Additionally, it can assist you in a word processor by proofreading, rephrasing sentences, or quickly summarising long documents.

On this front, ChatGPT falls behind the others as far as integrations for the average user goes. Copilot and Gemini, being a part of the Microsoft and Google systems, respectively, make them extremely useful for you and me. It allows us to use our chosen chatbot to take notes in online meetings, to summarise and scan through spreadsheet data, to help edit documents, to help improve emails and much more.

I'm not here to break down which is better, Microsoft 365 (Office) or Google Workspace. They are very similar platforms, equally good, and either will work for anyone. Instead, let's look at the price of integrating an AI into your chosen system.

To use Copilot in things like XL, Word Docs and Teams, you will need: 

  • A Microsoft 365 Copilot subscription - $30 a month 
  • A Microsoft 365 Personal subscription - $16 a month

To use Gemini in things like Sheets, Docs and Meet, you will need: 

  • A Standard Google Workspace plan - $19 per month

That means that using Gemini integrated in the Google Workspace is $27 cheaper a month than using Copilot in Microsoft 365. So, at less than half the price, I think that’s a clear win for Gemini.

How Power Hungry Are AI Chatbots?

You might not think that how much electricity AIs use is important to you, but trust me, it is. AI data centres need an absolutely monumental amount of electricity to run and process prompts. In 2024, AI data centres used a full 5% of all Australian electricity, and that number is predicted to rise to between 8% and 15% in the next five years.

There is a real, tangible possibility that the rise of AI could lead to energy price hikes in the short term and worldwide energy shortages in the long term.

The good news is that Google Gemini is already running on 100% renewable energy, not carbon offset energy, which is essentially just nonsense, but 100% green energy. The rest of Google's infrastructure aims to be 100% green-powered by 2030.

Microsoft Copilot and OpenAI’s ChatGPT are also in the process of switching over to renewable energy and are planning to be 100% green-powered by 2030 as well.

Another positive development is that all the companies are working to make their AI chatbots more energy-efficient.

Actually, comparing how the companies fare in terms of electricity usage and carbon footprint per prompt is a little tricky due to multiple reported numbers and a very rapid improvement rate; however, let’s give it a try. Also, because Copilot uses OpenAI’s underlying engine, its numbers will be very similar to ChatGPT’s.

Kilowatt hours used per prompt: 

  • ChatGPT - 0.34Wh
  • Copilot - 0.34Wh 
  • Gemini  - 0.24Wh 

Grams of carbon emitted per prompt:

  • ChatGPT - 1.5 - 3 grams
  • Copilot - 1.5 - 3 grams
  • Gemini  - 0.03 grams 

Take all of those numbers with a healthy pinch of salt. The amount of grams per prompt that Gemini emits could well be higher, but still not as high as the other two. Well, that brings the fourth and final round of our fight to a close, and as the competitors make their way back to their corners, it’s time to tally up the scores. I think that was a pretty big win for Gemini in that round. It’s more energy efficient, has ten times more context tokens, and using it integrated into a workspace setup is half as cheap as Copilot. So, I’m going to score it as a knockdown for that round.

Honestly, it was incredibly close. Right up until the final round, I was struggling to find any tangible difference between Gemini and Copilot. When I compared Gemini and ChatGPT last year, I ended up switching to Gemini after writing the article. This year, I'm genuinely tempted to switch to Copilot, but I think I'll stay the course for now. That said, Copilot would be a fantastic option for a lot of people.

Which one is best for you? Well, that depends on what you want from an AI.

Gemini is the better option if you want a powerful, affordable and environmentally friendly AI that fully integrates with your emails, spreadsheets, documents and meetings. It can answer your questions, of course, but it's really built for the full, immersive experience.

Copilot is the one to choose if you just want to dip your toe into the AI waters. It's perfect if you simply need to ask questions and get help with prompting better ideas, without all the bells and whistles of a full integration.
