How You Can Use AI To Help Your Club Or Association In 2025
Explore practical ways clubs and associations can leverage the power of Artificial Intelligence in 2025. Almost two full years ago, I wrote an article on how you can use AI to help your club or association. It was a relatively brief overview of AI and how it can be helpful to membership organisations.
Since then, I have written many more articles about specific AI programs and uses of AI, so much so that there is now a category on Member Jungle for these articles, Artificial Intelligence To Help Your Club.
However, AI has gotten a lot better in the past two years; case in point.

So, I thought, given this improvement, we should revisit the topic of AI and its uses for membership management. This time, I will not be explaining what AI is, as I think most people are familiar with it by now. So, let’s get stuck into some of the best uses for AI in 2025 and which programs are best for which uses.
Use AI To Take Meeting Notes For Your Club Or Association
Taking notes during a meeting is always a bit tricky. There is a fine line between being too focused on the notes so you miss what is being said, not paying enough attention to your notes, and ending up with some incomprehensible scribbles.
This is where AI tools come in handy. They can handle all the notetaking for you, allowing you to concentrate on listening and contributing to the discussion. All you need to do is set up your AI notetaker and turn it on at the start of the meeting. It will take care of the hard work and provide you with a summary and meeting minutes once the meeting ends.
Best AI Tools For Notetaking For Clubs & Associations
- Gemini - Gemini is Google’s answer to ChatGPT is a great choice for notetaking. If you pay for Google Workspace, you can have Gemini record a transcript and meeting minutes directly from your Google Meet meeting. Its meeting minutes and transcripts are accurate and succinct. This is the process I personally use for meetings via Google Meet.
If you don’t pay for Google Workspace, you can instead upload your finished transcript to Gemini and ask it to create notes for you.
- Otter.ai - Otter.ai is a program offering both free and paid tiers that record online meeting transcripts and generate AI-powered meeting minutes. Otter.ai provides well-formatted meeting minutes with action item tracking, automatically saves screenshots of presentations, and can share the notes with attendees post-meeting, making it a strong contender, especially if you prefer having your recording, transcript, and notes in one place.
- Fathom.video - Fathom.video offers both paid and free versions. Fathom records, transcribes, and generates meeting minutes, sending them to attendees afterwards. It offers various note templates, including standard minutes, Q&A, and interview formats, which are very helpful. The quality of the final meeting minutes makes Fathom a strong contender.
- NotebookLM - NotebookLM has many uses, but for getting AI-powered transcripts and meeting minutes from in-person meetings, this is my go-to. All you need to do is record the audio of your meeting using your phone (all modern smartphones have this feature ) and then upload the audio recording to NotebookLM. You can then ask NotebookLM to create a transcript and meeting minutes from your recording. It is the best way I’ve found to take AI meeting minutes from in-person meetings.
Generating Ideas For Your Club Or Association With AI
One great use of AI is how handy it is for just bouncing ideas around; it makes a great sounding board. Whether you're trying to come up with a catchy name for your next event, figuring out your calendar of upcoming activities, or brainstorming fresh ways to get the word out about your club, AI can be a real help. It's great for those moments when you just need to throw some thoughts out there and see what sticks. It can often suggest things you may not have thought of alone.
Best AI Tools For Generating Ideas For Clubs & Associations
- ChatGPT - We all knew ChatGPT would make it on the list somewhere. ChatGPT is a jack of all trades, and it is also great at helping you generate and refine ideas. Just ask it in plain English about what you want to talk about, and you are off to the races. I’m sure you are at least mildly familiar with how to use it by now.
- Gemini - Gemini is a great AI program that works pretty much the same as ChatGPT; however, it is, in my opinion, better. The process of using it to generate ideas is the same; simply ask it in plain English to help come up with a name for your newest event or whatever you need help with.
- There are other alternatives to ChatGPT and Gemini, like Claude.ai, Microsoft Copilot and Meta AI. Still, given how good Gemini and ChatGPT are and how good their free versions are, I don’t see a need to go past either of them.

Use AI To Help With Your Club Or Association’s Writing
Don’t worry. I’m not suggesting that you start writing a blog on your organisation's website. What I’m saying is AI is great for helping with emails, newsletters, event names and descriptions and basically any other communication you have with your members.

Because that happens to me all the time, I use an AI tool to help me craft a formal and polite response to overcome this. This approach works well, making it much easier to reply to emails when I'm feeling drained. Additionally, this process simplifies writing compelling newsletters, event descriptions, and anything else you need to communicate with your members.
Best AI Tools To Help Clubs & Associations With Writing
- Grammarly - Grammarly is a specialised AI editor that also has the ability to create AI-generated writing. It’s not for asking questions to like Gemini or ChatGPT, but for inserting your newsletter subject line, email response or event outline and getting Grammarly to make them more captivating and well-written.
- ChatGPT or Gemini - Gemini and ChatGPT are both great at editing your text to help make it more streamlined and captivating. While less specialised text editors than Grammarly, they will do a good job when it comes to helping you improve your subject line, event description and more.
- ProWritingAid - ProWritingAid is a more in-depth AI writing tool that is better suited to fiction writers, as it has a lot of tools to help with narrative structure, the number of cliches used, etc. However, it is still powerful enough to help you iron out your communications with members.
Other Ways You Can Use AI To Help Your Club Or Association
Those are just a few different ways you can use AI to help streamline the operations of your club or association. There are obviously more ways to utilise AI and more platforms, but that should be a decent start for you.
